The Copyright Licensing Agency Data Collection Exercise at the University of Huddersfield

Collection of Royalties Data in Higher Education – Rewarding the Rightsholders

As you may be aware, the University of Huddersfield holds a copyright licence which enables academics and support staff to photocopy, scan and re-use published material, such as books, journals, periodicals and digital originals to support Learning and Teaching. The Copyright Licensing Agency (CLA) is currently conducting a remote data collection exercise regarding the photocopying and printing of these published works.

This information helps the CLA to pay the authors, publishers and visual artists whose work is being copied, so our role is an integral and much valued part of this process. Some of the creators who, as a result of this exercise, will receive royalties for the re-use of their work may even be staff at our university!

The exercise runs between 08/02/2021 and 19/03/2021

During this time any relevant re-use should be recorded online using the link below, which we recommend you save to either your Favourites, Bookmarks or Desktop:

Please complete all fields, including the quantities, then simply click submit. Depending on browser settings the screen will then reset itself so you can continue recording data; alternatively, you may need to click the back button and/or refresh.

Some examples of the kinds of material that should be reported are:

  • Photocopying of books, journals, periodicals, etc. including extracts or line quotes.
  • Making copies of copies.
  • Copyright content transcribed and used in a printed resource such as a presentation/handout.
  • Open resources and material from hybrid publications, where a mix of copyright and open access content is included (particularly in journals or other collections of work).
  • Resources provided to non-credit bearing students (e.g. professional or short courses).
  • 'On-copying' of born digital – where a digital resource is printed out then used to copy from – made under the CLA licence is subject to the same terms as a photocopy so should be included.

Please only include relevant material which you are distributing in printed format. Further Guidelines Further Guidelines are available here (PDF).

In addition, electronic copies of any physical course packs that have been handed or posted to students during the whole of the 2020/21 session should be e-mailed to your Licence Co-ordinator, Chris Beevers at

N.B. Extracts that are scanned and made available electronically via MyReading are reported separately and are NOT included in this exercise. However, academics are reminded that any scans or downloads from published works MUST ONLY be made available via MyReading and not directly by e-mail or within Brightspace.

If you have any questions, please contact your Subject Librarian, or Chris Beevers the Licence Coordinator, .

Further information can also be obtained direct from our CLA Royalties Officer hayley.jacobs@cla.co.uk or you can email royaltiesdatacollection@cla.co.uk. You can find out more about CLA by visiting https://www.cla.co.uk.

Thank you for helping us to reward the rights holders.
